Further to the Vice Chancellor鈥檚 approval that the meeting of Congregation be held on Tuesday, November 8, 2022 at 3.00p.m., the procedure for the election of representative(s) of Congregation on the Governing Council, Senate, Budget Monitoring Committee, International School Management Board and Housing Committee shall be as follows:

i.Members of Congregation are to confirm their eligibility on the Congregation register as provided by HRMD on the

University website () from Tuesday, November 1, 2022 to Friday, November 4, 2022, by typing their 大香蕉视频 email address in the space provided.

ii.Persons with complaints on eligibility are advised to interface with the Deputy Registrar, HRMD between Tuesday, November 1, 2022 and Friday, November 4, 2022.

iii.Resolved cases on eligibility shall be forwarded by HRMD to CITS through the Senate and Ceremonies Unit for update not later than 10 a.m. on Friday, November 4, 2022.

iv.Interested candidates for elective positions should download nomination forms from the University website or

alternatively pick nomination forms from their respective Faculties/Departments/Units or Senate & Ceremonies Unit.

v.Photograph of the proposed candidate should be glued or celotaped (not stapled with pin) on the Proposal Form.

vi.Hardcopy of the completed Nomination Form should be returned to the Senate & Ceremonies Unit not later than

4 p.m. on Friday, November 4, 2022.

vii.The list of duly nominated persons into various elective positions as representative of Congregation shall be displayed on the University website as from 7 p.m. on Friday, November 4, 2022.

viii.Blended Meeting of Congregation shall hold at 3.00 p.m. on Tuesday, November 8, 2022. Accreditation and voting shall be electronic (virtual) followed by elections into various positions.

ix.The link/pass code to join the virtual meeting shall be received in the 大香蕉视频 email addresses of members.

E-VOTING EXERCISE

The procedure for the Electronic voting is as follows:

i. It is mandatory for members to have access to their 大香蕉视频 email addresses.

ii. Access to virtual platform for the meeting of Congregation shall open at 2.45 p.m. on Tuesday, November 8, 2022.

iii. To avoid a breach of the procedure on technical grounds, the virtual meeting of Congregation must have been duly

constituted (quorate) before the commencement of the meeting. Members are therefore enjoined to attend punctually.

iv. The link/pass code for the virtual meeting shall be batched and the groupings shall be forwarded through 大香蕉视频

email addresses to members of Congregation not later than Monday, October 31, 2022.

v. E-voting shall commence immediately after the conclusion of the meeting of Congregation.

vi. Eligible voters shall receive access code to the voting platform in their 大香蕉视频 email addresses from 8a.m on Tuesday, November 8, 2022 and shall proceed to vote on the voting platform from 3p.m. to 5 p.m.

vii.The principle of 鈥�one man, one vote鈥� shall subsist, thus, eligible voters can only vote once.

viii.Members shall login to the electronic voting portal to make their choices of preferred candidates. Voters shall click submit on the electronic voting portal on selection of their choice candidate(s).

ix. The candidates for elections or their nominees (representatives) may be present at the 鈥淐ontrol Room鈥� in CITS

during the period of voting to monitor the election as it progresses. The candidates are to submit in writing their

nominees (representatives) to the Senate and Ceremonies Unit not later than 10a.m. on Friday, November 4, 2022.

The Vice Chancellor, Professor Oluwatoyin T. Ogundipe, FAS has approved that the Election of Deans and Sub-Deans in the Faculties and School of Postgraduate Studies be conducted. Consequenstly, elections have been scheduled to hold between Wednesday, October 19, 2022 to Friday, October 21, 2022.

Those eligible to vote include all Academic staff that are:

./ Visiting lecturers/Professors

./ On Annual leave, maternity leave and Research Leave

The election of Deans and Sub-Deans in the various Faculties are scheduled as follows:

1. Election into the office of Dean and Sub-Dean will hold from Wednesday, October 19, 2022 to Friday, October 21, 2022.

2. In line with the tradition of the University, all appointments/elections into academic position terminates by 31st July of the academic year (with the exception of the Provost/Deputy Provost which ends by 31st December).

3. Consequently, all new and renewed appointments following the election shall end by 31st July 2024 unless re-elected/reappointed.

4. Deans shall hold office for two academic years in the first instance and is eligible for re-election for another two academic years only.

5. New Sub-Deans shall hold office for one academic year in the first instance and is eligible for re-election for another one academic year only.

PROCEDURE FOR e-VOTING

鈥� In line with extant policy, election must hold during the Faculty Board of Studies. There is therefore the need to call a Faculty Board meeting – A Blended Faculty Board meeting (Physical and Virtual) should be constituted in line with current realities.

鈥� The Blended meeting of the Board of Studies shall have in attendance, the representative of the Academic Affairs Directorate.

鈥� To avoid a breach of the procedure on technical grounds, the blended meeting of the Faculty Board of Studies must have been duly (quorate) constituted by the Dean/Ag. Dean before the commencement of e-voting.

鈥� The Zoom link for the Blended Faculty Board meeting shall be forwarded to Academic staff/Assembly of Teachers not later than twenty-four (24) hours to the scheduled date.

鈥�  Eligible voters shall receive access code to the voting platform in their UNlLAG email address during the Board of Studies meeting.

鈥� Eligible voters shall proceed to vote on the voting platform as provided by CITS.

鈥� The principle of ‘one man, one vote’ shall subsist, thus, eligible voters can only vote once.

鈥� The respective Faculty Officers/SPGS representative, proposed candidates (nominees) or their representatives shall be required to be present at the “Control Room” in CITS during the period of voting to monitor the election as it progresses.

鈥� E-voting shall commence strictly at the time scheduled for respective Faculties. It is important that Faculties keep to the time allocated.

鈥� Results shall be made available on conclusion of the e-voting exercise.
